Legal Secretary - Private Client Department 

Casanovas Recruitment Solutions are looking to speak with Legal secretaries. We have an exciting permanent role with a client in Ipswich. 

Job role:

To provide efficient secretarial assistance to a specified Fee-Earner in the Private Client Department dealing with Wills, Estates and Trusts, Estate Tax Planning, Powers of Attorney and elderly client affairs and to liaise with clients (and prospective clients) both face-to-face and on the telephone in the Fee-earner's absence or when requested to do so, in a courteous and helpful manner.  Providing secretarial cover to other fee earners within the Private Client Department and, if necessary, in other departments within the Firm in general when required

Key Relationships:

  • Partners and other Fee earners within the Private Client Department and the Firm in general;
  • Secretarial Colleagues and Administration Staff;
  • Clients;
  • Probate Registry staff;
  • Members of other legal offices;
  • Counsel and other providers of services to the Firm.

Main Task:

  • Taking dictation using digital dictation software.
  • Typing of letters, attendance notes and other legal documents including standard forms, using the firm's computer system and dedicated software.
  • Preparation of documents and other information supplied to the Secretary.
  • Receiving incoming telephone calls. Taking messages in the form of attendance notes when fee-earners are not available.  Making telephone calls on behalf of fee-earners when required.
  • Attending to the filing of incoming correspondence, documents, outgoing correspondence and documents.  Keeping all files in good order.
  • Opening new files and closing files on completed matters, preparing them for archiving.
  • Dealing with enquiries on the telephone and face to face from prospective clients.
  • Dealing with routine enquiries on the telephone and face to face from clients and other firms relating to the progress of matters in hand.
  • Making appointments and keeping a diary of same.
  • General liaison with Accounts Department.
  • Costing files, preparing bills and schedules and dealing with all other secretarial requirements of the clients and the fee earner in respect of the firm's work
